Call for Poster Abstracts

The organizing committee of the Canadian healthcare Safety Symposium (Halifax 10) invites anyone interested to submit an abstract for poster presentation in our second, Late Breaking Call for Abstracts. The Scientific Review Committee will evaluate all abstracts submitted. Authors of abstracts selected for presentation will be contacted via email and invited to present a poster at the Symposium. All selected abstracts will be included in the Symposium proceedings, which will be provided to delegates and will be made available on the Symposium website.

Abstract Format

Abstracts may discuss and report on research and quality initiatives that have taken place or are currently taking place and which provide insight into healthcare safety and/or human performance issues in healthcare safety. They may also describe the development and implementation of a “safety solution” triggered by a specific (but de-identified) patient or patients who suffered harm or experienced a close call. Confidentiality of the identity of the patient(s) is required.

Examples of possible topics include research and quality improvement in regard to patient safety and staff safety, legal issues, disclosure, mediation methods, human factors, design, technology, training, safety and quality education, communication and collaboration with patients, and advances in improving the culture of safety.

The following are suggested headings to use to ensure that important information is included in your abstract. The Scientific Review Committee will rate each abstract based on its relation to these elements:

Abstract Review Process

Abstracts will undergo a peer-review process. The Scientific Review Committee will assess each abstract based on its adherence to format, merit and alignment with the overall conference objectives and themes.

Authors of abstracts will be contacted by email by September 30, 2010, and those selected for presentation will be invited to present a poster at the conference. All selected abstracts will be made available to conference delegates and posters will be printed in the Symposium program and made available on the website.

Submission Requirements for Abstracts

  1. Abstracts must be submitted electronically, by email, using the official submission form and sent to halifax@buksa.com.
  2. Please use standard abbreviation. Place special or unusual abbreviations in parenthesis after the full word when it appears for the first time.
  3. Errors, misspellings and incorrect abbreviations will not be corrected.
  4. Minimize the use of charts as this detail is not used to evaluate the merit of your abstract.
  5. Abstracts must not exceed 350 words (excluding the title, authors' names and mandatory headings).
  6. An individual may submit more than one abstract. One official submission form is required for each abstract.
  7. There is no fee to submit abstract(s).
  8. Abstracts must not have been previously published.
  9. Edits to submitted abstracts may be made up to June 18, 2010. Instructions for making edits can be found on the submission form.

Presentation Requirements

  1. All abstracts are for poster presentation only.
  2. The presenting author will be required to stand by his/her poster(s) at specific times to answer questions during the Symposium. In the case of multiple authors, at least one author is required to stand by the poster at the specified times.
  3. Registration is required to present a poster at the Symposium. If the corresponding author has not already registered, this individual will be registered once their poster has been accepted. This registration can be substituted at any time if another coauthor plans on attending instead of the corresponding author. An invoice will be provided with the letter of acceptance. Registration will be charged at the Early Bird rate. Only one (1) seat will be held for each poster accepted. Substitutions or changes to the registration can be made at any time by emailing halifax@buksa.com.
  4. Registrations are bound by all of the registration policies of the symposium, which can be found on the website at www.buksa.com/halifax/.
  5. The symposium will not cover expenses of those presenting based on an abstract submission, such as expenses for developing the poster, shipping, travel, or accommodation.
  6. The poster must not exceed 115 cm x 115 cm in size but may be any dimension within these constraints. Oversize posters may not be displayed. Push pins will be provided at the conference.

The official submission form is in Microsoft Word format and must be completed electronically. If you do not have MS Word, please contact the Abstract Coordinator to make alternate arrangements. To download and submit the official form, please follow these instructions carefully:

  2. Complete the highlighted boxes on the form and double-check that you have answered all of the necessary sections of the form.
  3. Save your file before submitting.
  4. Email the completed submission form to halifax@buksa.com.
  5. An official confirmation of receipt of your file will be forwarded within 48 hours. If you do not receive this official confirmation, please contact the Abstract Coordinator to be sure your file was received.

What to Expect at the Symposia

The Halifax Series has evolved into Canada's flagship event in healthcare safety. Participants from previous meetings have consistently remarked about the meeting being innovative, cutting edge, and intellectually challenging.

The meeting is different by design. In developing the early programs, the founders of the Halifax Series sought inspiration within healthcare and in other industries around the world for different ideas, knowledge, skills and attitudes which would present opportunities for the improvement of healthcare safety in Canada. The Halifax Series Organizing Committee has diligently continued this approach.
