Conference Assistant

Overview:
This is an entry level position in the exciting field of conference organization. You will assist project teams in managing speakers, promotions, facilities, registrations, sponsors, committees and other aspects of the healthcare conferences that BUKSA organizes. Logistical details and administrative support will be your primary responsibility. You will be based in Edmonton; some travel is required. You thrive in a fast-paced environment where you are working on many projects at once, enjoy working in teams, and have excellent communication skills. A college diploma is required. Relevant summer work or volunteer experience is an asset.

Purpose:
The primary function of the Conference Assistant is to assist the Project Managers and Conference Coordinators in the organization of conferences and other projects.

Reports to: President and Project Managers

Responsibilities:

  • Assist with facility selection and coordination
  • Liaise with suppliers
  • Prepare marketing materials, coordinate distribution
  • Prepare delegate packages
  • Assist with speaker follow-up, collection of information
  • Make travel and accommodation arrangements
  • Process registrations
  • Coordinate meetings and prepare meeting packages
  • Prepare and maintain project binders
  • Prepare mail merges and maintain data bases
  • Answer phones and respond to telephone inquiries
  • Courier packages
  • Purchase supplies and maintain inventory
  • Prepare correspondence, draft documents
  • Assist on-site in the execution of conferences
  • Other duties as required

Skills, Education and Other:

  1. Ability to work under pressure, multi-task, and be flexible
  2. Thrive in fast pace environment
  3. Excellent organizational and communication abilities
  4. College diploma
  5. Experience with Microsoft Office
  6. Ability to actively and consistently represent the values and goals of the company
  7. Some travel required
  8. Evening and weekend work from time to time
